Applications Module

The Applications module lets you create forms for staff recruitment, partnerships, event sign-ups, feedback, and other server workflows. Members start an application in your server, answer its questions in their DMs, and receive the final decision from Discortics.

Most application tasks can be completed without leaving Discord. The Dashboard provides another way to configure forms and gives premium bots a visual response manager.

Before You Begin

Staff members need the Manage Server permission to configure forms or manage responses. Discortics needs permission to send messages and embeds, Manage Roles, and Moderate Members for staff commands. It also needs Moderate Members when an applicant runs /application apply. If you configure accepted or denied role actions, its highest role must be above the role it will add or remove.

Applicants must allow DMs from Discortics. The questions and final decision are sent through DMs.

Public bot requirement: Every form on the public bot must have a valid logging channel before members can apply. Prime and Custom bots can retain responses for the Dashboard and /application review, but a logging channel is still recommended.

Application Limits

Limits depend on which Discortics bot serves your server.

Accepted, denied, and pending responses all count toward the response limit. Staff can delete every response from one member or clear every response for a form with /application delete to free this capacity.

Create Your First Application

1. Run /application settings in your server.
2. Choose Add new form from the menu.
3. Select Edit Info and enter a recognizable name, description, and logging channel.
4. Select Questions.
5. Add at least one Simple, MCQ, or File question.
6. Return to the form's main settings menu.
7. Configure restrictions, post actions, response settings, shuffle, or an icon if needed.
8. Check the status button. The form must be open for members to select it with /application apply.

The new form is created when you choose Add new form. Each setting is saved when you complete its menu or modal; there is no separate save command in Discord.

You can also create and edit forms from Dashboard → Applications. Dashboard changes use the save bar at the bottom of the page.

Form Options Explained

Run /application settings, then select an existing form to change any of these options.

Status

The first button shows whether the form is open or closed.

• Open: Members can find the form through /application apply.
• Closed: The form remains configured, but members cannot start a new application for it.

Closing a form does not delete its questions or existing responses.

Edit Info

Name identifies the form in application menus and staff review screens. It is required and supports 1–100 characters. Use a specific name such as Moderator Application instead of a generic name such as Form 1.

Description gives applicants context before they choose a form. It is optional and supports up to 1,024 characters. Include requirements, expected availability, or anything applicants should know before starting.

Log Channel receives completed responses. Choose a private staff channel that Discortics can view and send messages in. This option is required when using the public bot and optional for Prime and Custom bots.

Restrictions

Restrictions control who may start the form and where /application apply may be used.

Allowed Roles makes the form available only to members who have at least one selected role. Leave it empty to allow every role unless blocked separately.

Blocked Roles prevents members with any selected role from applying. A role cannot appear in both the allowed and blocked lists.

Allowed Channels limits the form to applications started in one of the selected text channels. This is useful when you want members to apply from a dedicated channel.

Blocked Channels prevents the form from being started in selected text channels. A channel cannot appear in both the allowed and blocked lists.

Each list has its own tier limit shown in the Application Limits table. Selected roles must also be below Discortics' highest server role.

Questions

Every form needs at least one question before members can apply.

Simple creates a text question. Applicants answer by sending a message in their DM conversation with Discortics. Simple questions support up to 1,024 characters.

MCQ creates a multiple-choice question. Applicants answer it with a select menu. Configure:

• Question: The prompt, up to 200 characters.
• Options: Between 2 and 25 unique choices of up to 100 characters each. Enter one choice per line or separate choices with |.
• Min: Minimum number of choices an applicant must select.
• Max: Maximum number of choices an applicant may select.

The selection values should follow 1 ≤ Min ≤ Max ≤ number of options. If Max is greater than the number of options, Discortics reduces it to the option count.

File creates a file upload question. Applicants answer it with Discord's file picker directly in the DM. Configure:

• Question: The prompt shown above the upload control.
• Min: Minimum number of files the applicant must attach.
• Max: Maximum number of files the applicant may attach. Each file question accepts between 1 and 10 files.
• Accept: Which file kinds are allowed — All, Image, Video, or PDF. Discord's file picker cannot restrict what a user selects, so Discortics checks the files against this filter when the answer is submitted and asks for a new upload if any file does not match.

Each uploaded file must stay within your tier's file size limit, and one applicant's uploads across the whole form count toward the per-response file limit. Both limits are shown in the Application Limits table.

Every question type can be marked required or optional. Applicants can skip an optional question with its Skip button; required questions must be answered before the application continues.

Use Rearrange to provide the complete new order as comma-separated question numbers. For example, 3,1,2 moves question 3 first. Every current question number must appear exactly once.

Use the trash button to select and delete one or more questions. Deleted questions cannot be restored unless you add them again.

Shuffle

Shuffle randomizes the order of questions each time a member starts the form. It does not randomize the choices inside an MCQ.

Enable it when question order should vary between applicants. Leave it disabled when later questions depend on earlier answers or instructions.

Post Action

Post actions automatically manage one role after a response is reviewed.

Accepted Role selects the role affected after an application is accepted. Accepted Action decides whether Discortics adds or removes it.

Denied Role selects the role affected after an application is denied. Denied Action decides whether Discortics adds or removes it.

Both post actions are optional. The selected roles must not be managed integration roles, and Discortics' highest role must be above them.

Examples:

• Add a Trial Moderator role after acceptance.
• Remove an Applicant role after either decision.
• Add a Reapply Later role after denial.

Response Settings

Ping Roles selects up to 25 roles that Discortics mentions when a completed response is posted to the logging channel. Use it to alert reviewers without them watching the channel.

Completion Message is an optional message of up to 2,000 characters sent to the applicant right after they submit. Use it to confirm timelines, next steps, or where to ask questions. Leave it empty to use the standard confirmation.

Icon

The icon helps identify the form in menus. After selecting Icon, send a Unicode emoji or a custom emoji from the same server within 60 seconds.

Delete

Delete permanently removes the selected form configuration after confirmation. It does not clear stored responses. Run /application delete before deleting when you also want to remove every response associated with the form. If you only want to stop new submissions, close the form instead.

Apply to a Form

1. Enable DMs from server members so Discortics can contact you.
2. Run /application apply in an allowed channel.
3. Select an open form from the menu.
4. Check your DMs from Discortics.
5. Read the application notice, then choose Agree to begin or Cancel to stop.
6. Reply to each text question with a message, answer each MCQ with its select menu, and attach files with the upload control for each file question. Optional questions show a Skip button.
7. Continue until Discortics confirms that the application was submitted.

You have 10 minutes for each step. Answering a question refreshes the timer for the next one. If a step expires, start again with /application apply.

You cannot submit another response to the same form while one is pending. After staff accept or deny it, you may apply again until you reach your bot's response limit.

An application may not start when:

• The form is closed or has no questions.
• Your DMs are disabled.
• You have a pending response for that form.
• You do not have an allowed role or you have a blocked role.
• You ran the command outside an allowed channel or inside a blocked channel.
• Discortics cannot access the configured logging channel.

The response limit is checked when your answers are submitted. If you have reached it, you can complete the questions, but Discortics cannot save the new response.

View Responses

Public Bot

Completed responses are sent to the form's logging channel. Keep this channel private so only application reviewers can read it.

The public bot does not provide /application review or Dashboard response history. Staff can still accept or deny an applicant with the commands below after reading the logged response.

Prime and Custom Bots

Premium bots provide three response views:

• Logging channel: Receives new completed responses when configured.
• Discord: Run /application review user:@member to open that member's response history. Use the arrows to move between responses, the form menu to jump between forms, and the Accept or Deny buttons to review a pending response.
• Dashboard: Open Dashboard → Applications → Responses to view pending, accepted, and denied responses grouped by form.

The interactive /application review session expires after 10 minutes of inactivity. Run the command again if its buttons stop working.

Accept or Deny a Response

Staff need the Manage Server permission. There are three ways to process a pending response.

From the Review Command

1. Run /application review user:@member on a Prime or Custom bot.
2. Navigate to the required form and pending response.
3. Choose Accept or Deny.
4. Optionally enter a reason of up to 500 characters.
5. Submit the reason modal.

With a Direct Command

Run one of these commands on any bot tier:

• /application accept user:@member reason:Your reason
• /application deny user:@member reason:Your reason

If the member has pending responses for multiple forms, Discortics asks which form you want to process. The reason option is optional.

From the Dashboard

Prime and Custom bots can open a pending response under Dashboard → Applications → Responses, then choose Accept or Deny and add an optional reason.

After either decision, Discortics:

• Marks the response as accepted or denied.
• DMs the applicant with the result and optional reason.
• Runs the configured accepted or denied role action.
• Records the reviewer and review time for response history.

Delete Responses

Deleting a response does not accept or deny it and does not run a post action.

Delete One Member's Responses

On a Prime or Custom bot, open Dashboard → Applications → Responses, select the delete button beside a member, and confirm. This permanently removes every response that member submitted for that form.

Delete Every Response for a Form

Run /application delete without a user, select the form, and confirm. This permanently clears all pending, accepted, and denied responses for the selected form. To delete one member's history instead, use /application delete user:@member and select the form.

The premium Dashboard also provides a delete-all button for each form.

Warning: Clearing responses cannot be undone. Record anything your staff must retain before confirming.

Clearing responses lets members apply again and frees capacity under the per-member response limit.

Bulk Actions

Bulk commands process every pending response for one selected form:

• /application accept-all reason:Your reason
• /application deny-all reason:Your reason

After running either command, select the target form. The optional reason is sent to every affected applicant. Discortics applies the matching post action and reports how many responses succeeded or failed.

Prime and Custom bots can perform the same actions with Accept All and Deny All in the Dashboard response manager.

Only one bulk application process can run in a server at a time. Wait for it to finish before starting another bulk action or manually reviewing a response.

Options ending in : are slash-command fields. Discord marks required fields while you enter the command; every reason field is optional.

Frequently Asked Questions

Why does my form not appear in /application apply?

Make sure the form is open and falls within your current form limit. Closed forms do not appear in the applicant picker. An open form with no questions appears in the picker but cannot start after you select it.

Why does Discortics say my DMs are locked?

Enable Allow direct messages from server members in Discord's privacy settings for the server, then run /application apply again.

Can applicants continue an expired application?

No. Each step has a 10-minute timeout. After expiration, run /application apply and restart the form.

Can applicants edit an answer after sending it?

No. Discortics moves to the next question as soon as it receives the answer. Review each response before sending it.

Why can Discortics not add or remove the configured role?

Move the Discortics role above the target role and confirm that Discortics has Manage Roles. Managed integration roles cannot be used for post actions.

Can the same role or channel be both allowed and blocked?

No. Remove it from one list before saving the restrictions.

How can a member apply again?

Pending applications must be accepted, denied, or deleted first. Reviewed responses still count toward the member's response limit. Delete a member's responses from the premium Dashboard or use /application delete to clear all responses for the form.

Should I use a logging channel on a premium bot?

It is optional but recommended. A private log gives staff an immediate Discord record while the Dashboard and /application review provide response management.
